Job: Executive Assistant / Office Coordinator

Job Description

DuMoulin Black is seeking an Executive Assistant to support our Managing Partner. The ideal candidate will manage all administrative duties within a large matrixed operation. Key success factors in this role are to possess excellent organizational & computer skills, be proactive & adaptive and have exceptional communication and interpersonal skills that align to our DB values. It is imperative to maintain a high level of confidentiality and privacy, exercising solid judgement and manage relationships at all levels internally and externally while driving results effectively.

Responsibilities

  • Scheduling & efficient calendar management - strategically organize meetings, events, and tasks to optimize the Managing Partner’s time and keep productivity on track. Proactively book meetings, sound judgement calls to manage through scheduling conflicts, log & manage scheduling requests with a balanced approach of gateway & gatekeeper
  • Meeting management – coordination with attendee calendars, support the creation and circulation of pre-read materials and agendas, logistics and preparation of the meeting event, minutes/meeting recordings, post meeting overviews and take aways
  • Special Projects - Support prioritization & time management of tasks, goals, and objectives
  • Expense reporting & management according to compliance requirements and timelines
  • Correspondence management – tailor correspondence style to the audience and aligned to the Managing Partner’s objectives. Efficient & effective prioritization & response to emails, liaise/follow up on behalf of the Managing Partner’s, organize inbox and task rules to support productivity. Handle emails that are clear for delegation on the Managing Partner’s behalf.
  • Client Billing – Bill all time, submit to partner for review at month end. Review all pre-bills, flag high, unusual costs, special clients. Track and follow up with outstanding AR.
  • Conduct preliminary research on a variety of topics and draft materials as needed. Create, maintain, edit, and format a variety of correspondence, PowerPoint presentations, organization charts, and Excel spreadsheets. Maintain various departmental database systems and list (such as, engagement letters, opening files, draft basic responses).
  • Travel coordination & management – itinerary coordination with detailed specs in travel package, scheduling time to prepare for meetings/presentations, booking flights, transportation, meals, meetings and lodging. Ability to problem solve any travel issues, if they arise.
  • Organize and manage the partner’s personal life aspects which overlap with the practice.

  • Assist with reception coverage as needed; office opening, mid-day, closing duties
  • Answering phone calls
  • Directing email inquiries
  • Mail; Opening, scanning, delivering
  • Coordinating lunches (in office or at restaurants)
  • Coordinating orders for office supplies
  • Providing administrative support to our paralegal team; mail outs, filing documents on our digital filing system as needed
  • Preparing the Boardroom for AGM and important meetings
  • Special Projects: supporting the Director of Operations and People & Culture as needed

Qualifications

  • 2-5 years of relevant experience
  • Bachelor's Degree
  • Background in business law environment (preferred)
  • Customer service experience in fast-paced environments (Preferred)
  • Proficiency in full MS Office suite
  • Agility & flexible availability to problem solve or support changing priorities
  • Strong time management & organizational skills
  • Detail oriented, strong reporting / data validation
  • Exceptional interpersonal & relationship management skills at all levels within an organization
